This policy applies to purchases from Easy Rent Pro and Sunset Solutions N.V. It is subject to mandatory consumer-protection rights that cannot lawfully be excluded. A signed agreement, quotation, order form, or special written offer may contain additional or different terms; where valid, those specific written terms take priority.
1. Scope of this policy
This policy covers Easy Web Rent cloud subscriptions, subscription renewals, onboarding, installation, migration, configuration, training, support packages, integrations, API work, custom development, website or reservation-system implementation, and any remaining legacy EasyRentPro downloadable or server-installed products.
2. Trial and pre-purchase evaluation
Easy Web Rent is offered with the trial period stated on the applicable website, quotation, or order form. Unless another period is stated in writing, the current standard trial is 14 days. The trial is intended to allow a prospective customer to evaluate the principal functions, browser compatibility, workflow, reports, integrations, and suitability for the customer’s operation before purchasing.
A free trial does not create a paid subscription unless the customer separately accepts a paid order, authorizes payment, or requests conversion to a production account. Trial data, domains, integrations, and access may be removed after the trial ends in accordance with our operational and data-retention practices.
During the trial, reasonable assistance may be provided by email, remote support, documentation, and, when appropriate, limited telephone or online-session support. Customers are strongly encouraged to test the service, request clarification, and confirm required features before purchasing.
3. Easy Web Rent subscription fees
Easy Web Rent is a hosted software service. Subscription fees pay for access to the platform, hosting, maintenance, standard updates, and the service level described in the applicable plan during the purchased billing period.
Except where mandatory law requires otherwise, fees for an activated subscription period are non-refundable once the production account has been created, access credentials have been issued, the customer has requested activation, a live domain has been configured, data migration has started, or the service has otherwise been made available.
Lack of use, limited use, failure to complete setup, changes in the customer’s business, staff turnover, failure to cancel before renewal, or a decision to stop using the service does not by itself create a right to a refund.
4. Annual renewals and non-renewal
Easy Web Rent plans may be billed annually or according to another billing cycle stated in the order. Renewal fees are generally non-refundable after the renewal period begins and service access remains available.
A customer who does not wish to renew must follow the Cancellation Policy and provide notice before the renewal date. Cancellation normally prevents the next renewal; it does not retroactively cancel or refund the current paid period.
Payments made for one product, plan, customer account, implementation, or service cannot be transferred to another product or customer unless Easy Rent Pro agrees in writing.
5. Setup, migration, training, integrations, and custom work
Fees for onboarding, installation, configuration, data conversion, migration, training, consulting, API work, integrations, custom reports, custom modules, website changes, reservation-system setup, or other professional services compensate work performed and resources reserved.
These fees are non-refundable once the work has started, time has been scheduled, analysis has been delivered, files or credentials have been supplied, a test environment has been prepared, or development has commenced. Any unused portion will be handled only as stated in the applicable quotation, project agreement, or written settlement.
Charges for additional features requested by the customer are non-refundable after work begins, including when the customer later decides not to deploy or use the completed work.
6. Third-party costs
Fees paid or committed to third parties are non-refundable to the extent they cannot be recovered. This may include domains, certificates, messaging providers, payment gateways, mapping services, cloud infrastructure, email delivery, licensed components, external APIs, travel, and other supplier charges.
7. Situations eligible for review
A refund, correction, or account credit may be considered for:
- a verified duplicate payment;
- an incorrect amount charged by Easy Rent Pro;
- a charge processed after a timely cancellation was accepted and confirmed in writing;
- payment for a service that Easy Rent Pro confirms was never activated or provided;
- a material advertised feature that is demonstrably unavailable and cannot reasonably be corrected, replaced, or worked around within an appropriate period;
- another situation where a refund is required by applicable law.
Before approving a refund for a claimed missing feature or service failure, Easy Rent Pro may request logs, screenshots, account access, reasonable troubleshooting, and an opportunity to correct the problem. A refund may be denied when the issue results from unsupported equipment, third-party services, customer configuration, unavailable customer data, unauthorized modifications, or requirements not included in the accepted order.
8. Legacy downloadable and server-installed products
The following provisions remain applicable only to older EasyRentPro products, shareware, downloadable files, activation-code products, or web files delivered for installation on a customer-controlled server:
- Customers should use the offered trial or demonstration period to evaluate the software before purchasing.
- Once product files, source files, registered web files, or an activation code have been delivered, or the software or reservation system has been installed or registered, no refund is normally available because the delivered digital materials cannot practically be returned.
- Whether the customer used the delivered files does not change this rule.
- A Letter of Destruction on company letterhead may be required when Easy Rent Pro agrees, at its discretion, to refund a legacy product because a materially advertised feature is not supported.
- Legacy annual subscription, support, update, hosting, or maintenance fees remain non-refundable after the applicable period has started, except where mandatory law requires otherwise.
9. Chargebacks and payment disputes
Customers should contact us before initiating a chargeback so that billing errors can be investigated. A chargeback does not automatically cancel a subscription or settle an outstanding contractual balance. Fraudulent, abusive, or unsupported chargebacks may result in suspension, collection activity, or recovery of reasonable fees where permitted by law.
10. How to request a billing review
Send the request to info@easyrentpro.com and include the account or company name, invoice number, payment date, amount, reason for the request, and relevant supporting information. Do not send complete payment-card numbers or security codes.
Requests should be submitted promptly after the charge is discovered. We may request identity or account verification before discussing billing information.
11. Decision and processing time
Approved refunds are normally returned through the original payment method where practicable. Payment processors, card issuers, and banks control the final posting time. Processing fees or currency differences may be non-refundable where they were retained by a third party or where permitted by law.
12. Acceptance
By ordering or renewing a product or service, the customer confirms that it has had an opportunity to review this policy, evaluate the product where a trial was offered, and ask questions before purchase.
